Information we collect

We collect account details, connected mailbox metadata, and email content needed to generate summaries, labels, and insights. We do not sell your data.

How we use information

We use data to deliver the MailFLow experience, including AI summaries, focus timelines, and semantic search. We also log feedback events to improve the product.

AI processing

Email content is sent to OpenAI for summarization, categorization, and action item extraction. OpenAI does not use your data to train its models. Summaries and extracted metadata are stored in your account.

Third-party services

We use trusted providers to operate the service:

• Clerk: Authentication and user management.
• Google Gmail API: Mailbox access and sync.
• OpenAI: AI processing for summaries and labels.
• Stripe: Payment processing and subscription billing.

Each provider operates under its own privacy policy and is only used to deliver core app functionality.

Data sharing and disclosure

We share data with service providers only as needed to run MailFLow. We do not sell or rent your personal information. We may disclose information if required by law or to protect our users and the service.

Data retention and deletion

We retain only the data required for your account and the features you enable. To delete your account and data:

1. Go to Settings, then Account Deletion, and follow the prompts.
2. Or email support@mailflow.ai with the subject "Delete My Account".

Data is permanently deleted within 30 days, except where retention is required by law.

Children's privacy

MailFLow is not intended for children under 13. We do not knowingly collect personal information from children.

California privacy rights (CCPA)

California residents may request access, deletion, or a copy of their personal data. We do not sell personal information. Contact support@mailflow.ai to exercise these rights.

Security

Data is encrypted in transit and at rest. Access is limited and audited. We regularly review our security practices and vendors.
